Redding Rancheria is seeking a full-time Recovery Administrative Assistant. Working under the supervision of the Recovery Director, the Recovery Administrative Assistant II performs a variety of office and clinical support including staffing the Recovery Department front office, greeting patients warmly and answering patient / community phone calls and inquiries, as well as patient care such as rooming, vitals, and medical assisting for the Recovery Providers. The Recovery Administrative Assistant will be responsible for scheduling appointments, managing internal and external referrals, and assisting the Director on special projects and assignments (example: outreach events, PowerPoint presentations, data entry, purchasing and organizing supplies). This position requires a working knowledge and ability to utilize all aspects of Microsoft office and NextGen PM and EHR.

REQUIREMENTS/MINIMUM QUALIFICATIONS:

  • Associate Degree in a related field preferred.
  • Certification as Medical Assistant. Be in possession of valid and current California Driver’s License.
  • CPR certification required.

ESSENTIAL JOB FUNCTIONS:

  1. Serves as the information and communication hub for the Recovery Department.
  2. Works with the Leadership Team to foster interdepartmental cooperation, and shared vision to problem solving.
  3. Responsible for the readiness of all common areas of the department for each working day, and have all front desk activities fully operational at the start and end of business hours.
  4. Greets patients and visitors with friendliness, in person or on the telephone, answering or referring inquiries, screening and directing patients to appropriate staff.
  5. Assist with new patient enrollment procedures, evaluating and communicating patient eligibility and options. Filing / processing documents, medical records, and referrals as needed.
  6. Maintaining Recovery Providers schedules. Scheduling patient appointments according to provider preference. Checking patients in and out of appointments.
  7. Maintains diversion tracking and calls to set up appointments per the diversion policy.
  8. Works as a Medical Assistant roughly 20-25% of their time; including rooming patients, vitals, documenting nursing notes, and collecting/ sending urine toxicology per clinic policies.
  9. Setting up Zoom meetings, and telehealth appointments as necessary.
  10. Answers all incoming calls and checks voicemails routinely, as well as triage calls according to policy. Must return all patients calls within 24 hours (Monday- Friday).
  11. Completes appointment reminder calls for all recovery services.
  12. Organizes and maintains paper and electronic records and documents, including distribution and communication of required data and information using telephones, postal mail, fax and email. This includes creating and maintaining a paperless environment to the extent possible and maintaining departmental files.
  13. Manages department special projects; maintains multiple calendars for the department, arranges meetings, conferences, teleconferences, presentations, travel, creates agendas, takes minutes of meetings, etc.
  14. Create, edit or proof Recovery marketing materials (flyers, brochures, calendars) and various reports or presentations in support of the department activities.
  15. Maintains department supplies and materials inventory by checking stock to determine inventory level; anticipating needed materials & supplies; placing and expediting orders for supplies; verifying receipt of supplies, and distribution as needed
  16. Sort, screen and distribute incoming and outgoing mail related to Recovery team and CCHC staff.
  17. Maintains patient confidence and protects operations by respecting and maintaining the privacy and dignity of patients, assuring client confidentiality at all times.
  18. To perform all the above mentioned duties with a warm outgoing personality, excellent telephone and personal etiquette.

Responsible for enforcing and administering the Tribal Gaming Ordinance, Tribal/State Compact, NIGC MICS and any other applicable law.

  1. Plans, organizes, directs and evaluates the performance of assigned staff; establishes performance requirements and personal development targets; makes decisions on compensation and other rewards to recognize performance; takes disciplinary action, up to and including termination, to address performance deficiencies, in accordance with Redding Rancheria personnel rules and policies.

Medical Scribe

JOB SUMMARY:

Medical Scribes are individuals trained in medical documentation who assist a provider throughout their shift. The primary goal is to increase the efficiency and productivity of the physician. It will be the responsibility of the Medical Scribe to annotate any dictated or written information for the treatment of patients following all local, state and federal guidelines for documentation into the electronic health record system. The Medical Scribe will be responsible for clearly recording each patient’s symptoms, history, physical exam and documenting the diagnosis. This position will have no direct involvement in patient care but has an interdepartmental role in assisting nursing and front office staff.

ESSENTIAL JOB FUNCTIONS:

  1. The primary role of the Medical Scribe is to assist the clinician with documentation of each patient’s medical chart during his or her visit.
  2. Accompanies the clinician into the patient examination area in order to transcribe a history and physical examination as given by the patient and physician.
  3. Documents any procedures performed by the clinician or nurses, on the electronic medical chart.
  4. Is an expert in the use of various templates and documentation techniques available in the EHR system, and use these tools efficiently so individual encounters can be well documented, as well as accurately congregate data collected for statistical reports.
  5. Transcribes any consultations or discussions with family members and/or the clinician.
  6. Completes the patient’s chart by transcribing results of any labs, x-rays, or other evaluations. In doing so, the scribe continuously checks on the progress of this data in order to get the patient’s workup complete so that the clinician is able to make his or her decisions regarding that patient.
  7. Lists all proper diagnoses as well as any follow up instructions and prescriptions, as dictated by the clinician.
  8. Other duties as assigned.

JOB SUMMARY:

Perform all coding relating to Medical, Dental and accounts receivable. Coding for diagnosis, procedures and services performed by providers of the clinic. Audit for accuracy of billing for all 3rd Party Payers, Medi-Cal (including Medi-cal, Share of Cost) Medicare and Private Insurance meeting all payer, state and federal regulations.

REQUIREMENTS/MINIMUM QUALIFICATIONS:

  • Must have current experience in Medical and/or Dental.
  • Certified Professional Coder
  • BS in Health Care Administration or equivalent years Coding/Billing experience
  • Must pass pre-employment drug screening.

ESSENTIAL JOB FUNCTIONS:

  1. Ensure coding, insurance and Alternate Resource Information is complete, current and determine eligibility.
  2. Read patient chart notes to verify correct CPT and/or CDT codes and ICD10 diagnosis codes.
    Communicate with providers to ensure timely completion of charting.
  3. Set claims to bill and communicate with RCM to ensure timely uploading of claim files to the clearinghouse.
  4. Assist Billing Manager and IT in monitoring fee schedules and recommend revisions when necessary.
  5. Audit Electronic Health Record (EHR) or Electronic Dental Records (EDR) for appropriate supporting documentation and medical necessity of documentation compared to charges.
  6. Determine accurate codes for diagnosis, procedures and services performed by Physicians and recognized non physician providers in a physician-based setting. (These services may include evaluation and management services as well as reviewing operative notes).
  7. Keep current with medical compliance and reimbursement policies, such as medical necessity issues and correct coding issues.
  8. Providing physicians and staff with up-to-date coding information from reliable, accurate sources, such as specific payers, the AMA, AHA, ADA’s Coding Clinics and CMS.
  9. Communicate with admissions to ensure insurance and demographic information is correct.
  10. Communicate with Quality team to ensure documentation is meeting quality measures.
  11. Complete follow-up tasks of unpaid claims and research denials.
  12. Research proposed new procedures for coding and billing requirements as well as FQHC rulesand regulations, update staff on findings.
  13. Run aging reports for all insurance categories, including no insurance, to ensure properpayments and RCM write offs.
