The Redding Rancheria is seeking a Senior Administrative Assistant II – Health Finance. The preferred schedule for this position is Monday – Thursday 6:30 am to 4:30 pm, Friday 6:30 am – 10:30 am.

JOB SUMMARY:

Perform a wide variety of complex secretarial and administrative duties under the direct supervision of Executive Director of Health Services (ED).

REQUIREMENTS/MINIMUM QUALIFICATIONS:

  1. Minimum of 2 years experience working as an executive secretary
  2. Demonstrated experience in supporting senior management.
  3. Previous supervisory skills.

ESSENTIAL JOB DUTIES:

  1. Uses discretion and independent judgement to prioritize executive responsibilities and streamline workflow.
  2. Prepares high-level reports, presentations, and executive correspondence for ED, leadership meetings, Tribal Council, and the Executive Team.
  3. Functions as a resource or liaison between the ED to other departments, Tribal Leadership, external agencies, and patients.
  4. Works directly with the Executive Director of Health Services (ED) to support all aspects of daily executive functions..
  5. Drafts, edits, and proofs official communications, memos, and reports for the ED.
  6. Manages confidential and time-sensitive information with professionalism.
  7. Handle incoming and outgoing communications with discretion and confidentiality, advising ED of time sensitive and priority issues.
  8. Improves administrative processes and workflows to enhance efficiency and productivity.
  9. Transcribe dictation.
  10. Prepare and distribute materials to HPMT.
  11. Proactively manage the ED’s calendar, coordinating high-level meetings with internal leadership and external partners, prioritizing key engagements, minimizing conflicts, and maximizing efficiency.
  12. Prepare and maintain monthly mileage reports for ED.
  13. Prepare, reconcile and submit monthly credit card report for ED, correctly and timely.
  14. Lend administrative support to all Clinic Health Departments and campuses.
  15. Plan and coordinate Annual Health Fair and Annual Provider luncheon.
  16. Maintain master calendar for ED, Lassen, Shasta and ECR for Liberty campus.
  17. Plans, organizes and coordinates meetings and events with Executive Assistants, Human Resources and Wellness Coordinator.
  18. Assist Special Projects with ordering apparel for Health Clinic Staff for special events throughout the year.

Maintenance Technician

JOB SUMMARY:

Provides Journey Level maintenance for all Tribal facilities, in a variety of areas.

Custodian

Recovery Administrative Assistant II

JOB SUMMARY:

Working under the supervision of the Recovery Director, the Recovery Administrative Assistant II performs a variety of office and clinical support including staffing the Recovery Department front office, greeting patients warmly and answering patient / community phone calls and inquiries, as well as patient care such as rooming, vitals, and medical assisting for the Recovery Providers. The Recovery Administrative Assistant will be responsible for scheduling appointments, managing internal and external referrals, and assisting the Director on special projects and assignments (example: outreach events, PowerPoint presentations, data entry, purchasing and organizing supplies). This position requires a working knowledge and ability to utilize all aspects of Microsoft office and NextGen PM and EHR.

REQUIREMENTS/MINIMUM QUALIFICATIONS:

  1. Certification as Medical Assistant.
  2. Associate Degree in a related field preferred.
  3. Be in possession of valid and current California Driver’s License.
  4. CPR certification required.

ESSENTIAL JOB FUNCTIONS:

1. Serves as the information and communication hub for the Recovery Department.
2. Works with the Leadership Team to foster interdepartmental cooperation, and shared vision to problem solving.
3. Responsible for the readiness of all common areas of the department for each working day, and have all front desk activities fully operational at the start and end of business hours.
4. Greets patients and visitors with friendliness, in person or on the telephone, answering or referring inquiries, screening and directing patients to appropriate staff.
5. Assist with new patient enrollment procedures, evaluating and communicating patient eligibility and options. Filing / processing documents, medical records, and referrals as needed.
6. Maintaining Recovery Providers schedules. Scheduling patient appointments according to provider preference. Checking patients in and out of appointments.
7. Maintains diversion tracking and calls to set up appointments per the diversion policy.
8. Works as a Medical Assistant roughly 20-25% of their time; including rooming patients, vitals, documenting nursing notes, and collecting/ sending urine toxicology per clinic policies.
9. Setting up Zoom meetings, and telehealth appointments as necessary.
10. Answers all incoming calls and checks voicemails routinely, as well as triage calls according to policy. Must return all patients calls within 24 hours (Monday- Friday).
11. Completes appointment reminder calls for all recovery services.
12. Organizes and maintains paper and electronic records and documents, including distribution and communication of required data and information using telephones, postal mail, fax and email. This includes creating and maintaining a paperless environment to the extent possible and maintaining departmental files

13. Manages department special projects; maintains multiple calendars for the department, arranges meetings, conferences, teleconferences, presentations, travel, creates agendas, takes minutes of meetings, etc.
14. Create, edit or proof Recovery marketing materials (flyers, brochures, calendars) and various reports or presentations in support of the department activities.
15. Maintains department supplies and materials inventory by checking stock to determine inventory level; anticipating needed materials & supplies; placing and expediting orders for supplies; verifying receipt of supplies, and distribution as needed
16. Sort, screen and distribute incoming and outgoing mail related to Recovery team and CCHC staff.
17. Maintains patient confidence and protects operations by respecting and maintaining the privacy and dignity of patients, assuring client confidentiality at all times.
18. To perform all the above mentioned duties with a warm outgoing personality, excellent telephone and personal etiquette.

Medical Records Technician 1

JOB SUMMARY:

Maintain and protect patient medical records in accordance with clinic policies and guidelines for patient confidentiality.

REQUIREMENTS/MINIMUM QUALIFICATIONS:

  • Prefer medical records experience to include numerical chart filing, lab and x-ray disposition. Must have professional phone courtesy.
  • Prefer current understanding of ICD-10 Coding & interpretation. Must pass pre-employment drug screening.

  • Audit patient documentation, and signature of all paperwork from all departments.
