The Redding Rancheria is seeking an Administrative Assistant I- Behavioral Health. The preferred schedule for this position is Monday-Friday 8 am to 5 pm.

JOB SUMMARY:

The purpose of this position is to provide a full range of intake, scheduling, follow-up and clerical support services for the Behavioral Health Department. The Behavioral Health staff provides Mental Health Counseling, Substance Use Disorder Counseling, Group Counseling, Psychiatry Services, Psychological Testing, Case Management and Integrative Behavioral Health.

REQUIREMENTS/MINIMUM QUALIFICATIONS:

  1. Preferred minimum of an Associate’s degree in the area of administration, communications, psychology or business.

ESSENTIAL JOB DUTIES:

  1. Serves as the information and communication hub for the Behavioral Health Department. Completes requests by greeting customers, in person or on the telephone; answering or referring inquiries, screening and directing patients to appropriate staff. Contacts patients directly and collects confidential information as needed.
  2. Maintains Behavioral Health Provider schedules. Schedules patient appointments according to need. Checks patients in and out of appointments. Evaluates eligibility and Alternate Resource status and makes referrals as necessary. Manages appointment reminders, assists patients in completing necessary forms.
  3. Manages all Well-App communications for the Behavioral Health department.
  4. Organizes and maintains paper and electronic records and documents, including distribution and communication of required data and information using telephones, postal mail, fax and email. This includes creating and maintaining a paperless environment to the extent possible and maintaining departmental files.
  5. Manages release of information requests for the Behavioral Health department. Ensures all release of information request forms are complete and accurate. Prints/gathers requested patient documents/information. Obtains Behavioral Health provider’s approval to release patient information. Communicates and sends documents to the records department once approved to send.
  6. Ensures insurance information is up-to-date and verifies client eligibility by running insurance information for each scheduled client.
  7. Provides alternative resources to clients and non-clients alike who are in need of Behavioral Health services.
  8. Manages department projects and maintains department schedule by maintaining calendars for department; arranging meetings, conferences, teleconferences, and travel, taking minutes of meetings, collecting data and creating reports, brochures, flyers, etc.
  9. Maintains patient confidence and protects operations by respecting and maintaining the privacy and dignity of patients, assuring client confidentiality at all times.
  10. Responsible for the readiness of all common areas of the department for each working day, and have all front desk activities fully operational at the start and end of business hours.
  11. Maintains department supplies and materials inventory by checking stock to determine inventory level; anticipating needed materials & supplies; placing and expediting orders for supplies; verifying receipt of supplies, and distribution as needed.
  12. To perform all the above mentioned duties with a warm outgoing personality, excellent telephone and personal etiquette.

Acquire pertinent records, labs, x-rays, diagnostic tests and health summaries related to the patient’s current condition from the medical records; forward information to the specialist or facility involved.
3. Enter referral data, and insurance information into EHR..

6. Request medical records/other additional information from outside healthcare facilities.

Develop, implement and maintain an independent audit for review of Gaming
Operations utilizing the current audit procedures manual. This position will administer an Audit Plan to evaluate compliance with all applicable laws and regulations. You will be responsible for the review and investigation of any and all incident reports from security and/or surveillance.

1. Develop, implement and maintain an independent Audit Program for the Gaming Commission’s Compliance Audit Plan utilizing the current audit procedures manual.
2. Select, verify and analyze transactions for audit projects based on defined criteria.

ESSENTIAL JOB FUNCTIONS:

1. Receive referrals/requests from providers through the EHR and schedule outside care as indicated.
2. Provide information to patients regarding referral provider name, address and phone number to allow patients to call to schedule appointment. Acquire pertinent records, labs, x-rays, diagnostic tests and health summaries related to the patient’s current condition from the medical records; forward information to the specialist or facility involved.
3. Enter referral data, and insurance information into EHR.
4. Track all referrals sent out to ensure completion of care and receipt of related documentation using SQL reports.
5. Maintain all required data in the EHR to comply with clinic, state and federal mandates.
6. Request medical records/other additional information from outside healthcare facilities.
7. Respond to authorized requests for information by outside healthcare facilities.
8. Receive outside records and scan to appropriate EHR patient file.
9. Scan all ‘in house’ forms and documents to the appropriate EHR patient file.
10. Track all stored historical paper charts and shred as per policy as they time out. Perform other related duties as needed.
