The Redding Rancheria is seeking an Administrative Assistant I – Education. The preferred schedule for this position is Monday through Thursday, 8:30 AM to 3:30 PM.

JOB SUMMARY:

Provide a wide variety of complex secretarial and administrative support for Education Director and department programs.

REQUIREMENTS/MINIMUM QUALIFICATIONS:

  1. Must have High School diploma or equivalent i.e. (GED) or experience.
  2. Demonstrated experience in Native American education programs.

ESSENTIAL JOB DUTIES:

1. Assist the Education Director in all manners of administrative support to include maintaining calendar of meetings, appointments, and distributing individual task lists to co-staff for education events.

2. Responsible for the youth and adult tutoring program, including: ensuring potential tutors pass the level 4 background check, executing tutoring contracts and circulating for approval, processing tutoring time sheets and ensuring accuracy, making payments for tutoring services either directly or by way of reimbursement.

3. Responsible for processing report cards using the quarter, trimester and semester point systems and providing incentive checks to all school aged tribal member children.

4. Work alongside the Education Director to coordinate youth leadership sessions including scheduling rooms and session leaders, paying for services, ordering meals, purchasing supplies for each session and tracking student participation.

5. Works alongside the Youth Advocate to determine themes and décor for all educational events.

6. Responsible for assigned clerical/secretarial duties. i.e. – Doc Star, copying, filing, sorting, compose flyers for mailing regarding trips/educational workshops/career opportunities, purchase inventory, order supplies, etc.

7. Assist Education Director and Advocates with coordinating events for all education programs and events as assigned, such as but not limited to monthly youth activities, the annual youth Christmas party, education banquet, the 12-month youth leadership program, college prep, etc.

8. Responsible for input and upkeep of the departments tribal member database and project management database.

9. Record, prepare and maintain records of minutes for meetings such as departmental and committee.

10. Write up and submit in a timely manner a newsletter article for each education event/session as well as including photos for those articles. Take photos at each education event/session.

11. Assist in researching information for administrative reports and educational opportunities.

12. Assist Education Director in reviewing and monitoring budgets for Education Programs.

13. Assist with Johnson O’Malley School Supply Assistance intake process for applications as well as calling families to pick up gift cards.

14. Assist Education Director with Redding Rancheria Community Education Fund scholarship application process, interview scheduling with Council Committee, processing of payment to schools, etc.

15. Work with Education Director on policies and procedures for department.

16. Track, maintain and monitor department strategic planning goals and log sheets for department programs and individual student files with Education Director.

17. As mandated, identify and report suspected child abuse to proper authorities following established guidelines. Ensures safety of children at all times during department events/sessions.

18. Crosstrain in all areas of the Education Department.

19. Provide coverage to co-staff when necessary

20. Collect and organize information about students in order to develop and implement future changes to tribal educational programs.

21. Identify and select at risk students and work with them and/or their parents to create academic goals.

22. Inform and encourage tribal youth and adults about career and educational opportunities within the Redding Rancheria and its entities.

23. Research Tribal and community services for referral. Research training and conferences that motivate students to do better in school and help keep interests and attitudes high.

JOB SUMMARY:

Responsible for administration, research and coordination of new funding sources such as local, state, and federal grant opportunities for the Redding Rancheria. This position will serve as the central contact for grant application process and works directly with departments and the Redding Rancheria entities to gather required information to coordinate and write grant applications to obtain funding to develop tribal programs. Assists departments and program managers to ensure that all tribal policies, and grant reporting requirements are met in a timely manner.

REQUIREMENTS/MINIMUM QUALIFICATIONS:

  1. Bachelor’s degree in English, communications, creative writing, or related field.
  2. Minimum of two years of grant writing and/or grant management experience.
  3. Minimum 5 years of experience in an accounting environment; accounting experience in a governmental environment preferred.

Communications Specialist provides a variety of administrative support to the Organizational Communication Department. ESSENTIAL JOB DUTIES:

Accountant II-Finance Specialist

JOB SUMMARY:

Responsible for the review and audit of all prepared accounts payable batches and preparation and review of general ledger journal entries. Complete reconciliation and record management of all cash flow and grant funding and prepare all related required reporting for review. Administer travel requests, arrangements and closeouts per established organizational policies and procedures. Must have a thorough knowledge Redding Rancheria financial policies, and the ability to solve complex problems. Serves as primary backup of Account I-Accounts Payable and Purchasing Specialist.

REQUIREMENTS/MINIMUM QUALIFICATIONS:

  1. Bachelors in Accounting or Finance
  2. Must be proficient in Microsoft Excel and Word; experience with MIP accounting software a plus.
  3. Minimum 5 years of experience in an accounting environment; accounting experience in a governmental environment preferred.

ESSENTIAL JOB DUTIES:

  1. Works with the Assistant Controller and Controller in the month-end process by preparing journal entries and reconciliations
  2. Maintains accounting systems, records and ensures that all appropriate entries, journals and records are accurate and in accordance with established policies and procedures.
  3. Responsible for tracking and maintaining of all grant funding and reporting as required.
  4. Facilitate review and reporting practices in support of reporting cycles and deadlines.
  5. Stay current on grant compliance requirements, prepare and maintain supporting documentation for grant activity, draw requests, maintaining accurate records of all grant activity.
  6. Facilitate, organize and maintain all travel planning and record keeping ensuring compliance to all required regulations and policies.

  11. Monitors, manages, and reconciles of all cash flows
  12. Assists with accounts receivable duties, which includes recording, posting payments, and deposits.
  13. Prepares the calculation of the monthly indirect allocation for review
  14. Perform and/or review any of the following accounting tasks: accounts payable, accounts receivable, purchasing and procurement, and cash management.
  15. Responsible for the monthly preparation of accurate financial reports and supporting schedules, as required.

  17. Apply analytical skills and maintain organization.
  18. Follow general accounting principles of governmental accounting.

Accountant I – Accounts Payable Specialist

JOB SUMMARY:

Under the supervision of the Controller this position performs a variety of accounting support functions for the Redding Rancheria Tribal Government Finance Department. Directly responsible for the timely and accurate processing of all account payable invoices, reviewing invoices and requisitions for accuracy and within policy and procedures. Interacts with staff, Tribal Members, and vendors on a daily basis for the Redding Rancheria and serves as the primary backup to the Accountant I-Purchasing Specialist.

REQUIREMENTS/MINIMUM QUALIFICATIONS:

  1. 2 year degree in accounting or a minimum of 5 years of experience in similar accounting positions.
  2. Must pass pre-employment drug screening.
  3. Indian preference.

ESSENTIAL JOB DUTIES:

1. Perform any of the following accounting tasks: accounts payable, purchasing and procurement.

2. Follows up with Managers on unapproved invoices and/or errors to avoid late payments

3. Reviews vendor contracts and follows payment guidelines.

9. Date stamps and reviews all purchase orders and attached invoices for completion, including appropriate account coding, proper signing authority, and dollar amount approved for the Redding Rancheria in the absence of Purchasing Specialist

10. Researches and/or obtains best pricing for products requested on purchase orders in the absence of Purchasing Specialist

11. Works with purchase order requester to ensure appropriate items, quantities, and shipment terms are met in absence of Purchasing Specialist

12. Maintains credit card checking out process and pre-paid voucher files in the absence of Purchasing Specialist

13. Reviews voucher cover sheet by checking vendor, coding, amount, accounting period, 1099 details, remit address, and payment terms to be sure all information is accurately recorded. Makes corrections as needed

14. Maintains general office supply inventory and performs monthly inventory of supplies on hand

15. Assist with all Departmental needs in reference to filing and scanning documents

16. Compile and sort documentation

17. Verify and prepare working papers to support the details of business transactions.

18. Ensure proper accounting in accordance with the established policies and procedures.

19. Perform accurate and timely processing.

Maintenance Technician

JOB SUMMARY:

Provides Journey Level maintenance for all Tribal facilities, in a variety of areas.

REQUIREMENTS/MINIMUM QUALIFICATIONS:

  1. Demonstrated experience in facilities maintenance, project management and/or building trades.
  2. Valid California Driver’s license.
