Senior Administrative Assistant (Public Works)

The Redding Rancheria is seeking a Senior Administrative Assistant – Public Works. The preferred schedule for this position is Monday through Friday, 7:00am-3:30pm.

JOB SUMMARY:

Performs a wide variety of complex secretarial and administrative duties for the Sr. Director of Public works.

REQUIREMENTS/MINIMUM QUALIFICATIONS:

  1. Minimum 2 years of experience working as an executive secretary.
  2. Demonstrated experience in supporting senior management.
  3. Must possess a valid CDL.
  4. Indian Preference.
  5. Must pass pre-employment drug screening.

ESSENTIAL JOB DUTIES:

1. Proactively manages the Sr. Director of Public Works calendar, coordinating high-level meetings with internal leadership and external partners.

2. Will help monitor and respond to the Sr. Director of Public Works e-mail.

3. Attends executive meetings, prepares agendas, and produces accurate and concise minutes.

4. Oversees incoming and outgoing communications, identifying and elevating priority issues requiring executive attention.

5. Drafts, edits, and proofs official correspondence, communications, memos, and reports for the Sr. Director.

6. Process and file incoming and outgoing mail, facsimiles and other correspondence.

7. Prepares, reconciles, and submits monthly mileage and credit card reports for the Sr. Director accurately and on time.

8. Provides administrative support to the Health Village project team.

9. Participates in committees across multiple organizational entities within the Redding Rancheria.

10. Analyze and improves administrative processes to enhance efficiency, productivity and workflow across the Public Works Department.

11. Generate Public Works reports for Tribal Council Meetings.

12. Organize and manage preventative maintenance schedule and ensure it is completed by deadline.

13. Process invoices and purchase orders for the department and the Sr. Director.

14. Develops and coordinates PowerPoint presentations to support the Senior Director’s communication and reporting needs.
